Replacement renewal

Use the 'Replacement renewal notice' transaction to re-create renewal notices that were lost in the mail or that did not print due to a printer jam. This transaction may also be used to start the renewal cycle early by manually printing the first renewal notice in the series before the series has started.

Additionally, you can use 'Replacement renewal notice' to preview your renewal notices in order to verify that the messages are as you expect them to be prior to running the 'Renewal notice' update.

To create a replacement renewal notice, you must first use 'Lookup' to locate the subscription for which you would like to produce a replacement notice. (Click here for details on the lookup procedure.)

QuickFill will create the replacement renewal notice using the simple or detailed layout depending on the renewal package used for the renewal series to which the customer belongs.

Next renewal to be sent no earlier than

If you choose the first date, QuickFill will reset the "last notice sent" date to today's date, and the next notice will be sent after the interval defined in the renewal series. If you choose 'Next renewal update run', QuickFill will not reset the "last notice sent" date.

If the order for which you are producing a replacement renewal notice is linked to a "by issues" renewal series, the 'Next renewal to be sent no earlier than' fields will not appear.

Print now, Print later, Preview, Mail merge, Cancel

Select one of these options. 'Print now' will cause the replacement renewal notice to print immediately, 'Print later' will cause the replacement renewal notice to be placed in 'Print saved report', and 'Preview' will cause the replacement renewal notice to be printed to your screen. 'Mail merge' will create a mail-merge replacement renewal notice in Microsoft Word 97 or higher (click here for details on mail merge templates ). Should you decide not to produce a replacement renewal notice, select 'Cancel'.

 

Error messages

This message will appear if you use the 'Replacement renewal notice' transaction on an order for which no notices have been produced yet. If you choose 'Yes', the normal first notice will be printed and the next notice to be sent will be determined by your selection in the 'next notice to be sent' field. Choose 'No', if you decide that you do not want to print a replacement renewal notice for the order.

The renewal series has been shortened since the last notice was sent. Choose 'Yes' to print the last notice in the series as currently defined.
