Use the 'Merge customers' transaction to combine two customer records that represent the same person.
Customer number 1, Customer number 2
If you know the customer numbers to be merged, you can enter them directly. Otherwise, click on "Lookup" to look them up. (Click here for details on the lookup procedure.) As you enter each customer number, an image of each mailing label will appear to the right of the number. You may also add a comment in the space provided below the customers' information to explain why their records are being merged.
Note: selecting customers
If you select 'Merge customers' from the 'Transactions menu' after looking up the customer you want to merge, QuickFill automatically enters that customer's number into the 'Customer number 1' field.
Comment
If there is any additional information that you would like to about this transaction, enter it in this field. Any comments that you enter will be appended to the subscription history.
When you click on "OK," an 'Address' screen displaying both customers' name and address information will appear. The screen that appears lists the customer whose address will be saved on the left hand side under "This address will be saved" and the customer whose address will not be saved on the right hand side under "This address will be discarded." Behind the 'Address' screen, there will be a screen titled 'Phone & Demographics'. This screen contains the address information that would not fit onto the 'Address' screen. It contains fields the phone, fax, e-mail, user ID, password, salutation, taxable, rentable, sex, zip2, carrier route, demographic codes for the two customers.
QuickFill will stay on the 'Address' and 'Phone & Demographics' screens while you make any necessary changes (i.e., title, department, phone, etc.). You can merge the information on the records by clicking on "Merge," swap addresses by clicking on "Swap," or leave the address to be saved as it is. When you are ready to merge the customers, click on "OK" and QuickFill will attach any prospect records or subscriptions to the saved customer record.
Note: using "Merge"
"Merge" may be used to merge the sex, telephone number, fax number, E-mail address, user ID, password, demographic fields, and the last 4 digits of a 10 digit zip code. If the record that is going to be discarded contains data for one of these fields and the other does not, then the data is automatically copied to the record that is being kept.
The subscription history of the saved customer record will reflect the merge that took place as well as any comments that were entered on the 'Merge customers' screen.

Since the 'Merge customers' transaction is not a batched transaction, it is recorded in the miscellaneous batch. Click here for details on the miscellaneous batch.
