When you select a subscription and click on "Orders," you'll see a screen that looks like the one below. At the top left is an image of the customer's mailing label. At the top right, QuickFill shows you a summary of the subscription. Our example below shows an suspended subscription to publication QWKFIL with the code 888TST.

If you are looking at a group or two-party subscription, QuickFill indicates which customer (bill-to or ship-to) you are looking at by including the phrase "BILL-TO CUSTOMER 828" or "SHIP-TO CUSTOMER 828" as the case may be.
Subscription summary
QuickFill only displays the ship-to customer if you first select the ship-to customer and then select a subscription. In all other cases QuickFill will display the bill-to customer.
The top line of the subscription summary section tells you the customer number and the status of the subscription. Here is a list of possible statuses: (Click here for a list of status codes. )

You are not serving any issues for this subscription because the customer has not yet paid his or her balance due. QuickFill assigns this status to a subscription when a billing series reaches the "suspend point." |

Publication

Classification (audit system)
The audit subscription class for the current order, that is, the order from which issues are currently being served. In cases involving transitions from nonqualified to qualified or nonpaid to paid, the subscription classification is based on the most recent order.
Next billing date
The earliest date and the effort number for the next bill you'll send to this customer. Instead of a date, one of the following phrases may appear:

Next renewal date
The timing for the next renewal notice you'll send to this customer. For "by days" renewal series, QuickFill displays the earliest date and the effort number for the next renewal notice. The renewal notice will be generated with the first renewal update you run on or after this date.
For "by issues" renewal series, QuickFill displays the effort number and the issue number that must be served in order for that effort to be produced. The renewal notice will be generated when the 'Issue labels' update serves that issue.
Instead of a date, one of the following phrases may appear:

Renewals
The number of times the customer has renewed this subscription.
Total due
The total amount due for all orders in the subscription. A negative amount in this field indicates that the customer has a credit balance.
Issues remaining
The number of issues remaining to be served.
Expires (Exp)
The date of the last issue (click here for a description of issue dates) you'll serve for this subscription (not including grace issues). You won't see the correct expiration date if the subscription is suspended—either indefinitely or for nonpayment. In addition, if a subscription is complimentary you will see the word "COMP" instead of an expiration date.
Request type (audit system)
The audit request type is usually based on the current order, that is, the order from which issues are currently being served. In cases involving transitions from nonqualified to qualified or nonpaid to paid, the request type is based on the most recent order.
In the middle of the screen, under the heading "SUBSCRIPTION HISTORY," you'll see a chronological history of all the transactions you've entered for this subscription. Each transaction shows the date and a batch number, so that you can trace the transaction back to the original paperwork (click here for an explanation of batches). QuickFill also displays the amount credited or debited for each transaction, the resulting balance, and the user ID of the QuickFill user who processed the transaction. The entry you see in the 'Description' field depends on the type of transaction.
For new and renewal orders, QuickFill shows the subscription term (6 issues, 12 issues, etc.) and the number of copies the customer ordered. For payments, QuickFill shows the order number to which the payment was applied and the type of payment—cash, check, or credit card. Other types of transactions show the order number and any other data that are relevant to the transaction.
The subscription history can get quite long if there's been a lot of activity for a particular subscription. When QuickFill first displays this screen, it shows you the last few transactions that have taken place. You can scroll forward or backward through the history by clicking on the arrow buttons on the right side.
Order list
The bottom part of the screen is headed "Orders." It shows a complete list of orders—new, first renewal, etc.—for the subscription. It also shows the status—active, expired, etc.—for each order. You can print the complete subscription history and order details for the highlighted order, by clicking on the subscription summary toolbar button (see below).

Select an order and click this button and QuickFill will display a screen showing you the complete details of the order.
Back button
Click this button to return to the lookup screen from which you reached this screen.
Combo button
If you select an order and the "Combo" button lights up, this is an indication that the order is part of a combination. Click the "Combo" button and QuickFill will display a screen showing a list of all of the orders in the combination.
Qualdata button (audit system only)
To view a customer's qualification data click on "Qualdata." In the event that the subscription is a group subscription, click on "Shiptos" to first display a list of the group members, then select the member for whom you would like to see qualification data, and click on "Qualdata." QuickFill will display the qualification data for that ship-to customer. Since each member has a separate set of qualification data, you must specify which member's data you would like to see. If the qualification data has been changed, the batch number and qualification date will reflect the most recent change that has been made.
